Automations: let the computer do the boring, repetitive work for you

Copying details from emails into Excel? Sending the same reminders by hand? Copying orders into invoices? All of this can be set up to happen by itself, every time and without mistakes. You look after your customers, not the clicking.

Why this works differently in the Canaries

Every business has tasks that are done the same way every day: confirm a booking, remind someone about a payment, copy a customer's details, send an invoice, tell a member of staff about a new job. Each one takes a few minutes, but together they often add up to an hour or two a day. An automation is simply a rule: "when X happens, do Y". Once it's set up, it works at night, at weekends and on bank holidays.

Who it's for

  • Businesses where someone copies data from one place to another every day
  • Online shops that issue invoices and email customers by hand
  • Service businesses that remind customers about appointments and payments by hand
  • Holiday rental owners and tourism businesses with lots of bookings
  • Anyone who thinks: "but it's always exactly the same"

What's included

  • A chat and a list of tasks that can be automated, with an estimate of how much time each will save
  • Setting up automations between the programs you already use
  • Automatic emails, text messages and other messages to customers
  • Passing data on to your CRM, spreadsheet or invoicing program
  • Notifications for you and your staff
  • Testing on real examples before going live
  • A description of what runs and how to switch it off if needed
How it works in practice

Real-life examples

A new order in your shop

Situation: A customer buys something in your online shop at 11pm.

  1. 1The invoice is created automatically and emailed to the customer.
  2. 2The customer's details are saved in the CRM, together with what they bought.
  3. 3The warehouse, or you, get a message: "pack order no. 1043".
  4. 4The customer gets a text message saying when the parcel will be sent.

Result: In the morning the order is ready to ship, and you haven't copied anything.

A customer hasn't paid

Situation: You issued an invoice due in 7 days and the payment hasn't arrived.

  1. 1On the eighth day the customer gets a polite reminder with a payment link.
  2. 2If they still don't pay, they get a second reminder 7 days later.
  3. 3You get a list of the invoices where it's time to pick up the phone.

Result: You don't have to remember who owes you, and you don't have to write awkward emails.

A booking at a clinic or holiday flat

Situation: A customer books an appointment or a stay through your website.

  1. 1They immediately get a confirmation with the address and directions.
  2. 2The day before, they get a reminder, so they are less likely to forget.
  3. 3After the visit, they get a thank-you message asking for a Google review.

Result: Fewer no-shows and more reviews, without writing anything by hand.

An enquiry from the website form

Situation: Someone asks for a quote on your website.

  1. 1The customer gets an instant reply: "Thank you, I'll be in touch by tomorrow".
  2. 2The enquiry goes into the CRM along with where it came from.
  3. 3A member of staff gets a task with a deadline, and you get a notification on your phone.

Result: The customer knows you've seen their message, even if you're in the middle of a job.

How it works

From quote to launch in four steps

  1. 1

    A list of repetitive tasks

We talk about what you do every day and pick the tasks that take up the most time.

  2. 2

    Proposal and price

You get a description of each automation in plain words: when it runs and what it does.

  3. 3

    Set-up and testing

I set everything up and test it on real examples before anything reaches your customers.

  4. 4

    Launch and monitoring

We switch it on. For the first few weeks I check that everything works as it should.

Questions

Frequently asked questions

Do I have to change the programs I use?

Usually not. First I check whether the things you already use can be connected: Gmail, Google Sheets, your shop, your invoicing program. I only suggest something new when it's really worth it.

What if an automation sends something wrong?

That's why I test everything on examples before going live, and at the start we can set up important messages so you approve them with one click. Any automation can also be switched off at any time.

How much time does it save?

It depends on the business. In the first chat we work out together how many minutes a day each task takes and how many times a month it happens. I only automate what pays for itself.

Does it work with WhatsApp?

Yes, but with limits set by WhatsApp itself: businesses can send automatic messages through an official business account. I'll advise whether WhatsApp, text messages or email works best in your case.
