AI in your business: an assistant that writes, summarises and keeps track of deadlines

Artificial intelligence won't replace you with your customers, but it can do a lot of the writing and keeping track for you. It will draft a reply to an email, summarise a long enquiry, translate a message from a Spanish customer and remind you who is waiting for a quote. You read it, tweak it and click "send".

Why this works differently in the Canaries

In the Canary Islands many businesses deal with customers in several languages: English, Spanish and often German, Italian or Polish too. Add emails, WhatsApp and website forms on top. This is exactly where AI shines: writing, translating and sorting messages. I set it up so it knows your services, your prices and the way you talk to customers, while the important decisions always stay with you.

Who it's for

  • Businesses that get lots of emails and messages and can't keep up with replies
  • Businesses that serve customers in English, Spanish and other languages
  • Teams that want to use ChatGPT without blindly pasting customer data into it
  • Owners who want to know who is waiting for a reply without reading everything

What's included

  • A business ChatGPT account for your team, with ready-made instructions for your business
  • Templates: reply to an enquiry, quote, reminder, translation
  • An assistant in the CRM that summarises enquiries and suggests replies
  • Spotting what's missing from an enquiry (e.g. size, date, address)
  • A daily list: who is waiting for a reply and since when
  • Safety rules: what can be typed in and what can't
  • Team training with examples from your line of work
How it works in practice

Real-life examples

A long email in Spanish

Situation: A customer sends a long email in Spanish asking about a kitchen renovation.

  1. 1The assistant summarises it in English in three sentences.
  2. 2It lists what's missing for a quote: the kitchen measurements and the date.
  3. 3It drafts a reply in Spanish asking for the missing details.
  4. 4You read it, change one sentence and send it.

Result: A reply in 2 minutes instead of 20, in correct Spanish.

Nobody is left without a reply

Situation: You have a dozen or so conversations with customers on the go.

  1. 1Every morning the assistant goes through the CRM.
  2. 2It sends you a short list: "Jorge has been waiting for a quote for 4 days, Sarah asked about a date yesterday".
  3. 3Each customer has a draft message ready.

Result: Customers don't go to a competitor just because they waited too long.

A quote in 5 minutes

Situation: After a phone call you need to write a quote.

  1. 1You type a few words from the call into the CRM, for example "bathroom 6 m², customer's own tiles, start in May".
  2. 2The assistant prepares the quote on your template and with your prices.
  3. 3You check the figures and send it.

Result: More quotes sent, fewer evenings at the computer.

How it works

From quote to launch in four steps

  1. 1

    A chat

We look at where you lose the most time writing and keeping track. That's where AI helps most.

  2. 2

    Setting up the assistant

I teach the assistant your services, prices and style. We agree what it can do on its own and what it only suggests.

  3. 3

    Testing on your examples

We check on real emails and enquiries that the replies are good.

  4. 4

    Training and fine-tuning

I train the team and, for the first few weeks, improve the instructions whenever something could work better.

Questions

Frequently asked questions

Will the AI reply to my customers on its own?

Only if you decide so, and only for simple things, such as confirming an enquiry has been received. Replies that mention a price, a date or a promise are always prepared for you to approve.

Is my customers' data safe?

We use business accounts where data isn't used to train the AI, and we set clear rules about what can be typed in. Your customers' data stays in your CRM.

Does AI make mistakes?

Sometimes, yes, which is why I set it up as an assistant, not as the boss. Set up well and checked by a person, it saves a lot of time on writing and organising.

I don't have a CRM. Can I start with just ChatGPT?

Yes. The "ChatGPT for your team" package works without a CRM. Many businesses start with it and add a customer list later.
