A booking engine needs to do more than collect inquiries
When an apartment owner says they have a "booking system", it often turns out to mean a plain form: name, email, arrival date, departure date. That's better than nothing, but it doesn't solve the main problem.
A guest who's ready to book doesn't want to wait for a reply. They want to see the dates, the price and a confirmation. If they don't get that, they go back to Booking.com or Airbnb, where the process is instant.
Your own booking system for a Tenerife apartment should be just as convenient as an OTA platform — without giving up 15-20% in commission.
1. A live availability calendar
The calendar is the foundation. Guests need to see immediately which dates are free and which are taken. That cuts down on empty inquiries and saves the owner time.
A good calendar should handle:
- available and blocked days,
- a minimum number of nights,
- different prices for high and low season,
- technical blocks, such as cleaning or renovation,
- syncing with Booking.com, Airbnb and Vrbo.
If the calendar on the website isn't synced with the platforms, the risk of overbooking shows up fast.
2. Automatic price calculation
An apartment's price is rarely the same all year round. In the Canary Islands, winter season, holidays, school breaks, Easter and long stays can completely change the nightly rate.
The booking system should calculate:
- the price per night,
- a discount for longer stays,
- the cleaning fee,
- the security deposit,
- surcharges for extra guests,
- a deposit or full payment.
If the guest has to ask about the price, some bookings slip away. If they see a clear amount right away, the decision gets easier.
3. Online payment
A form with no payment leaves too much room for hesitation. The guest sends an inquiry, then compares other offers, while the owner waits.
In a custom booking engine, you can implement Stripe or Redsys. Depending on the business model, the system can collect:
- a 20-30% deposit,
- the first night,
- the full stay amount,
- a separate security deposit.
What matters most is that the dates only get blocked once the booking has a real confirmation.
4. Syncing with Booking.com and Airbnb
Having your own website doesn't mean you have to drop Booking.com and Airbnb right away. A smarter strategy is to use the platforms as a visibility channel, while gradually moving returning guests to direct bookings.
That's why the system should have iCal or API syncing. A booking from a platform blocks the dates on the website, and a booking from the website blocks the dates on the platform.
For one or two apartments, iCal is often enough. With more properties, it's worth considering a fuller channel manager.
5. SEO for direct bookings
A booking system alone isn't enough if nobody lands on the website. That's why an apartment website should be built to capture traffic from Google.
Example search phrases:
- apartment south Tenerife booking,
- apartment Los Cristianos no intermediaries,
- holiday rental Tenerife direct booking,
- Polish-owned apartment Tenerife.

6. Automatic emails
After a booking, the system should send a confirmation, and before arrival, check-in instructions. After departure, it can send a review request and a discount for the next direct booking.
This isn't a luxury. It's basic automation that cuts down on WhatsApp messages and builds a professional image for the property.
The short checklist
If you're planning a website for your apartment, ask not just about the design, but about the process:
- can the guest see availability,
- does the system calculate the price,
- can they pay online,
- does the calendar sync with the platforms,
- does the site have SEO,
- do automatic messages go out after booking.
If the answer to most of these is "no", it's not a booking system yet. It's just a website with a form.
